Coordinator, Vehicle Logistics
The Coordinator, Vehicle Logistics plays a critical role in ensuring the seamless flow of vehicles from their source to dealerships. This position directly contributes to a positive customer experience, fostering brand loyalty and retention. The coordinator proactively engages with both internal and external stakeholders to facilitate timely information exchange and optimize vehicle distribution processes. The incumbent will report to the Manager, Vehicle Logistics and will be based out of Subaru Canada’s office in Richmond, BC, with regular responsibilities including travel to and work at the Vancouver port.
Primary Job Responsibilities:
Dealer/DSM/Internal Support
- Ensure timely and accurate vehicle delivery from source to retail or designated sites, optimizing customer satisfaction for dealers and internal departments.
- Serve as primary support for assigned region dealers/DSMs, communicating essential vehicle distribution information. This includes details on wholesale/retail sales, mass production and pre-production vehicle availability, inventory status, vehicle search and locates, estimated time of arrival (ETA), and Subaru Indiana Automotive (SIA) inventory status.
- Support wholesale and retail sales by maintaining the vehicle supply chain from source to dealer, utilizing IT functions, internal reports, and Excel spreadsheets.
- Support wholesale and retail sales, by performing monthly rotation of stagnating Fleet units with dealer orders.
- Coordinate vehicle flow from source to dealers using AS400 distribution functions. This includes locating and assigning vehicles, allocating and releasing dealer pick-ups with compounds, expediting shipments with plants/ports and compounds, monitoring unit aging, and inputting transport company data for invoicing.
- Administer Sales Production Flexibility (SPF), including processing and implementing changes to vehicle order trim-levels and colors when available.
- Source vehicles for external fleet (as requested), press, show, and company use; arrange, monitor transportation, and facilitate final disposition.
- Notify dealers of monthly POS order entry windows and deadlines, advising on any restrictions. Ensure all orders are entered correctly and prior to deadline, and work with dealers to resolve discrepancies.
- Maintain CN Rail Performance file
- Provide backup support for fellow Vehicle Sales Logistics Coordinators during periods of illness, vacation, or high demand.
- Liaise with port representatives to ensure the efficient and compliant completion of all unloading, shop processing, and loading procedures according to SCI requirements.
- Proactively expedite the movement of aging inventory.
- Conduct reviews of the SCI schedule regarding forecasted vehicle arrivals.
- Attend relevant meetings, including weekly in-person status meetings with representatives from the port and SCI head office, training sessions and optional social functions.
- Assist with the physical movement of company vehicles as required and job-related.
Company Car Administration
- Administer company spare demonstration vehicles: assigning, maintaining files, ensuring proper documentation, recording mileage/damages/issues, arranging disposition at maximum mileage, and ensuring an adequate supply.
- Assist in maintaining the Company Car file by requesting monthly mileage and generating an "Available Demo" file.
- Assist employees with purchases of retiring company cars, including coordinating reservations, pricing sheets,
ensuring invoicing completion, and providing additional information/support as needed.
Transit Damage
- Primary administration of submitted transit damage claims including: updating excel database, review and assess claims submitted by dealers, submitting claims to transportation companies.
- Provide follow-up on unresolved claims and communicate payment of claims to accounting department. Utilizing carrier portals to submit and review claims.
- Communicate with the Department manager and Director on any unusual or problem transit damage or claim related issues.
Required Skills / Attributes:
- Detail-oriented with strong organizational skills
- Excellent communication and interpersonal skills, with the ability to build rapport and strong business relations with dealers
- Aptitude for multitasking and prioritizing
- Excellent computer proficiency, including Microsoft applications and AS400
- Bilingualism (English and French) would be an asset.
- Knowledge of and/or interest/aptitude in the automotive industry is an asset
- Ability to drive automatic and manual transmissions, with a valid driver’s license, is an asset.
Qualifications:
- Diploma or University Degree in a relevant field with 2-3 years of relevant experience or an equivalent combination of education, training, and experience.
- Automotive experience would be an asset.
- Experience with inventory management systems or logistics software is a strong asset.
Physical Conditions:
- Flexible work schedule & extra hours when required.
- Sedentary – extended use of a computer.
- Frequent travelling required.
Hiring Range: $ 55,000 - $ 70,000 per year.
